- Under the guidance of the Human Resources Manager, the receptionist supports the Sonic facility/leadership team by receiving and routing all calls through the Shore Tel Communicator phone system, supplies information to callers, connects them to their proper destination, and relates messages. This position also supports all departments in filing, greets customers, applicants and vendors upon arrival, announces visitors, and assigns badges and safety gear as required. Also, collects, sorts distributes and prepares the mail, messages, or courier deliveries.
Key Position Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
· Greet persons entering the facility, determine nature and purpose of the visit, and direct or escort them to specific destinations/people.
· Answer phones, screen calls, speak with visitors and page over the intercom.
· Type correspondence, reports, presentations.
· Distribute correspondence and/or mail.
· Operate office equipment such as faxes, copiers, printers, phone system, and computer.
· Supports filing needs, and various administrative requirements in all departments as needed.
· Maintains lobby materials.
· Coordinates some badging activities.
· Performs other duties as assigned or necessitated by change or condition
· Must be willing to work overtime as needed.
· This position has essential job functions that require daily onsite location.
Essential Qualifications, Skills and Experience:
- High School diploma, equivalent or GED
- MS Office proficiency, proficiency working with a computer and manual systems.
- Read, write and communicate fluently in English.
- Highly organized, ability to prioritize work.
- Ability to work effectively independently, and as an effective team member.
- Ability to work effectively and communicate with all levels of the organization.
- Friendly, courteous, and professional in person and on the phone.
- Previous experience in office administration and receptionist duties.
Desired Qualifications, Skills, and Experience:
- Effective problem solving
- Experience in a manufacturing environment.
- Bilingual - English and Spanish.
ITAR Requirement:
- Due to ITAR regulations, this position requires that the employee must be a U.S. Person (U.S. Citizen or Permanent Resident) or a Foreign Person for whom a license is obtained.
