Scope of Role

Gifting, Retail and Uniforms are specialized workstreams that contribute to the operational delivery of Olympic Hospitality for Los Angeles 2028. 

The Director of Olympic and Paralympic – Gifting, Retail and Uniforms reports too the [insert position] and will direct efforts for the achievement of On Location’s strategic business goals as it relates to gifting that adds value to a Hospitality product and guest experience, outfitting the thousands of workforce required for the successful delivery, plus the retail activations which will embedded into the wider Hospitality experience.

The core deliverables of the GRU Team include:

  • Gifting - Source gifts based on approved budgets that strengthening the Olympic and Paralympic Hospitality ensuring that each gift is impactful and convenient, adding value to the overall Guest experience

  • Uniforms – Outfit the On Location Workforce ensuring that they are easily identifiable to guests, while also being on brand and outfitted suitably to fulfil their roles and responsibilities.

  • Distribution – Management of 3rd party contractors to deliver innovative, convenient, streamlined distribution solutions to deliver gifts to Guests, and uniforms to workforce, plus contribute to the operational efficiency and cost effectiveness.

  • Retail - In collaboration with the Event Production Team, identify retail opportunities within the Hospitality venues that add value to the overall Guest Experience and contract official retailers to support with delivery of the agreed retail operations.

The GRU team is responsible for supporting the core Functional Areas responsible for the successful delivery and management of the Guest Experiences.

Essential Functions & Responsibilities

Primary Responsibilities

  • Management and Implementation of gifting, uniform and retail strategy within the contractual parameters of On Locations Official Hospitality agreement.  Demonstrate agility and flexibility to evolve strategies, departmental milestones and or business partnerships to cater to the evolving business needs and the successful integration of gifting, uniforms and retail as part of the guest experience

  • Exploration and Implementation of innovative distribution strategies of both Gifting and Uniforms, that will increase the value proposition, reduce the operational costs, streamline processes, integrate specialist contractors and most importantly offer a seamless experience to guests and workforce.

  • Management of Budgets and accounting related to Gifting, Retail and Uniforms including vendor set up and payments. 

  • Create and management of departmental timelines and milestones for the successful implementation and delivery of the strategy as part of the companywide projects and milestones.

  • Integration of department into the wider company structure to successfully identify and deliver against business/project objectives and deliverables within the allocated budgets

  • Establish and maintain strong working relationships with -

    • Internal stakeholders, including Event Production, Program Management, Platinum Program Management, Art and Design, Workforce Operations.  Understand and provide solutions to fulfil the business requirements with regards to gifting, retail and uniform within the budgets outlined.

    • The IOC and OCOG on the delivery of the strategy, timelines, processes, identification of vendors, and procurement of items.  Ensuring contractual obligations are met, opportunities are maximized, and approvals are granted with regards to the use of the event brand/IP.

    • 3rd party vendors including official licensees and retailers, ideating innovative, sustainable, and unique products and services that incorporate market trends and contribute to the elevated guest experience or hospitality environment. Manage vendors to ensure timelines are met and costs are on or below budget. 

  • Other internal stakeholders such as Technology, Guest Communications and Logistics exploring and implementing innovative digital solutions to enhance and streamline the distribution of the gift and uniform programs.

  • Collaborate with the Marketing Team, integrating storytelling related to gifts into overall Marketing plan to build awareness of the gift as an inclusion into the hospitality package and use the investment in the gifts to add value to the overall proposition.

  • Establish and management of a team to successfully deliver the gifting, retail and uniforms as part of the wider operational delivery.

  • Work collaboratively with contracted suppliers ensuring implementation and delivery of contracted obligations, adherence to brand and retail guidelines, sustainability objectives, approval process and compliance with partner rights if applicable.

  • Transitioning the team from planning into operations at Games Time, support on the operational delivery of the gifting, retail and uniforms ensuring the adherence to contracts, budgets and the seamless integration into the wider hospitality experience.

  • Keep appropriate executives and functional area leads informed of progress throughout the strategy, ideation, procurement, and delivery process as needed

  • Post event reconciliation of all products, finalize invoices, enact close out procedures of the warehouse, manage demobilization of any excess products and contribute to any reporting including but not limited to key learnings with recommendations and improvements for future events.

Other Duties & Responsibilities

  • Contribute to project management, milestones and reporting ensuring that the companywide objectives and obligations can be monitored and met.

  • Departmental adherence to company policies and procedures to achieve departmental objectives related to procurement, finance and legal.  Maintenance of records in readiness for internal audits, performance, and compliance measurement ensuring a robust procurement process and competitive pricing.

  • Maintain administrational requirements to manage contracts including reporting and data entry requirements, processing of invoices via finance systems, input and maintenance of stock management/inventory systems and general admin and filing. 

  • Management of the team with regards to adherence to Human Resources and overall wellness

  • Support Finance with billing, reconciliation, and collection processes related to the commercial activities of the department.

Must be adaptable with work and travel schedule and be available to travel throughout the year.  This position will require extensive travel. 

Qualifications

Required Education and/or Experience

  • Bachelor’s degree in Business Administration, Retail Management, Marketing, Merchandising, Brand or Hospitality Management or a related field, or equivalent experience required

  • 10 + years of professional experience, including at least 3–5 years in leadership or management roles

Preferred Education and/or Experience

  • Prior experience within global events or hospitality

  • Senior management experience in project management, brand management, e-commerce, or equivalent that would benefit the successful delivery of the scope outlined above

  • Strong interpersonal skills to manage relationships with staff, stakeholders, and community partners.

  • Strong communication skills and ability to work cross functionally

  • Strong problem-solving abilities and the ability to remain calm under pressure

  • Ability to lead large teams, develop staff, and manage performance

  • Extensive experience and use of Microsoft, Teams, AirTable and Slack, plus the ability to adopt and utilize new technologies and tools required for streamlining business and operational efficiencies  

  • Excellent attention to detail

Per local requirements and in the interest of transparency, the hourly rate shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. The company strives to provide locally competitive rewards packages, which include base rate along with, as applicable, short- and long-term incentives, growth and developmental opportunities, and robust benefits, such as health care, retirement, vacation and other paid time off, and additional offerings.

Hiring Rate Minimum:

$118,500 annually(minimum will not fall below the applicable State/local minimum salary thresholds)

Hiring Rate Maximum:

$158,000 annually
